Pet Boarding and Daycare Reservations

Updated on October 10, 2026

📅
Booking charges nothing. A reservation stores the pet, the dates, the service and the intake form. The kennel and the invoice are only created when the pet arrives and you register its check-in.

How to create a reservation

Navigation

In the left menu, open Boarding / Hotel and click New reservation at the top. The same three-step wizard you use to register a check-in opens.

Step 1 · Pet & service

Find the client, pick the pet and choose the stay type:

Type What it means
Hotel Overnight stay. You set an arrival and a departure date and time, and it is charged per night.
Daycare Day stay. You pick a single day and it is charged per day.

Then pick the service. Hotel lists the services in your inventory’s Boarding category; Daycare lists the ones in the Daycare category. The six services created for you (Small, Medium and Large of each type) come first, followed by any your clinic added, such as “Premium Hotel”.

Step 2 · Stay

Set the dates. The number of nights (or days) and the departure date are linked: change one and the other follows. The billing bar shows the estimated total.

A reservation does not take a kennel. The wizard reminds you: The kennel is assigned when the arrival is registered. That way you don’t lock a physical space days or weeks ahead.

This step is also where you plan transport (pickup, drop-off or round trip). It is covered in Pet transport.

Step 3 · Intake form

Every field is optional: In heat, Aggressive, Allergies, Feeding, Scheduled medication and Notes. Click Reserve to save.

⚠️
The arrival must be in the future. If the pet is already at the clinic, don’t reserve it: use Register check-in instead.

The pet’s care profile

Every pet has a care profile with its allergies, its feeding and whether it is aggressive. You edit it from the pet form and read it on the pet record, under Care, diet & allergies.

When you pick a pet in a reservation or a check-in, those three fields are filled in from what the system already knows. You don’t have to ask the owner what their dog eats every single visit.

Something changed? Correct it on the intake form and tick Update the pet’s care profile. If you leave it unticked, the change applies to this stay only. In heat and Scheduled medication are never saved to the profile, because they change from one visit to the next.

See what is coming: the Upcoming tab

The Upcoming tab shows a full week. Each day shows how many Arrivals and Departures it has, and you can move with the arrows or jump back to Today.

Pick a day to see the list: pet, owner, stay type, kennel (if it has one yet) and a Transport tag when someone has to pick the pet up or bring it home. Arrivals are your reservations; departures are active hotel stays ending that day.

On the Dashboard, today’s reservations show up under today’s arrivals marked as Expected, and the stat tells you how many have arrived out of the total expected.

Check a reservation in

When the pet arrives, click Register arrival on its row or on the reservation detail. Only two decisions remain, because the reserved dates and service are kept:

Decision Detail
Kennel Required for Hotel. Optional for Daycare: you can choose No kennel.
Invoice If the pet already has an open invoice, choose between New invoice and Add to existing invoice.

On confirm, the stay becomes Active, the kennel is occupied and the boarding line is added to the invoice using the service you reserved. If the reservation planned a charged transport, that line is added too. From here it works like any other stay: see Boarding & Daycare.

Edit or cancel a reservation

From the reservation detail, Edit stay lets you change the dates and the intake form. For Daycare, the day can only move while the stay is still reserved. If you move the departure, the drop-off trip moves with it.

Cancel reservation sets it to Cancelled. It cannot be undone, but there is nothing to reverse either: the reservation had no invoice and no kennel.

Stay statuses

Status What it means
Reserved Booked for the future. No kennel and no invoice.
Active The pet is at the clinic. It occupies a kennel (unless it is daycare without one) and has its invoice open.
Finished The check-out was registered.
Cancelled The reservation was cancelled before arrival.

What a reservation does not do

  • It does not check availability. You can hold more reservations than kennels for the same day; check the Upcoming tab before confirming during peak season.
  • It takes no deposit. Billing starts at check-in.
  • It sends no reminders to the owner. If you want to confirm the arrival, do it by phone or WhatsApp.
  • It cannot change service once created. If you picked the wrong one, cancel the reservation and create a new one.
