Prevention Plans: Vaccines and Deworming

Updated on October 10, 2026

🛡️
Two levels: the template is your clinic’s protocol (“Puppy core”). The pet’s plan is that template calculated from the pet’s birth date, with a real date for every dose.

Where to find it

Navigation

Templates are managed under Prevention plans in the left menu. Each patient’s plan lives on its record, under Prevention plan.

Quick start: the WSAVA catalog

You don’t have to build protocols from scratch. In Prevention plans, the Use WSAVA catalog button copies eleven templates based on the WSAVA and TroCCAP guidelines into your clinic:

Species Templates
Dog Puppy core, adult core booster, rabies, leptospirosis, internal deworming, flea and tick.
Cat Kitten core, rabies, feline leukaemia (FeLV), internal deworming, flea and tick.

The copies are yours: edit them, deactivate them or delete them. Click the button again and only the ones you don’t have yet are added. For the clinical criteria behind them, see the 2024 WSAVA vaccination guidelines.

Each template is matched to your “Dog” or “Cat” species by name (it also recognises “Canine”, “Feline”, “Perro” or “Gato”). If nothing matches, the template applies to any species and you are told so.

Create or edit a template

Click New plan, or open an existing card. A template has a name, a description, a species (optional) and an Active toggle: an inactive plan is not offered when assigning plans to new pets.

Every template is a list of events. An event is one specific dose or application:

Field What it is for
Type Vaccine, Internal deworming, External deworming or Other.
Title What the team sees: “Core vaccine 1st dose”, “Rabies”.
First given at The age it is due, in days, weeks, months or years. For example, 8 weeks.
Repeat Once, or every given number of days. This is what turns a vaccine into an annual booster.
Advance notice How many days before the due date the event becomes “Due soon”.
Allowed products Optional. The brands suggested when it is applied. If you pick none, any product in the category is allowed.

While you edit, the preview shows how it looks on a pet born today: every event with its date. Changes are saved together when you click Save.

⚠️
You cannot delete an assigned template. While any pet has it, deactivate it instead.

Assign a plan to a pet

On the pet record, open Prevention plan and click Assign another plan. The templates available for its species appear with their dose schedule. Click Import to pet on the right one.

The pet needs a birth date. Every date in the plan is calculated from it. If it is missing, you are asked to add it before assigning.

When you assign a plan to an adult pet, events whose date has already passed are marked Not applicable automatically. That way a four-year-old dog doesn’t show up with an overdue puppy schedule. If one of them does apply, reopen it.

The assigned plan is a copy: editing the template later does not change pets that already have it. And if you correct the birth date, pending first doses recalculate on their own.

Event statuses

Status What it means
Upcoming Pending, still some way off.
Due soon Inside the advance notice window.
Overdue Its date has passed and it is still pending.
Applied A vaccination or deworming was recorded at your clinic.
Applied at another clinic The owner brought proof from somewhere else.
Not applicable The vet decided not to give it.

Record the application

When you record a vaccination or a deworming, the form shows a What’s due section with that pet’s pending events. Pick the event and the record is linked: the event becomes Applied and the plan’s allowed products are suggested, though you can choose another.

From the ⋮ menu of each pending event you can also:

  • Link existing record - for a vaccination you already recorded without linking it to the plan.
  • Applied at another clinic - record the date, product and notes. It does not touch inventory or create an invoice.
  • Not applicable - close it without applying. Reopen brings it back to pending.

If the event repeats, applying it schedules the next dose automatically, counted from the real application date. A booster given a month late shifts the whole schedule a month, as it should.

Plans feed your reminders

Pending vaccinations and dewormings from a plan show up in Service reminders with a Plan tag and the plan name. You work them like any other reminder: send the email, mark as contacted or book the appointment. See Service reminders.

💡
“Other” events do not create reminders. Use them for protocol steps that are neither vaccines nor dewormings, such as a lab check.

Remove a plan

Unassign plan deletes the pet’s pending events. It is only allowed while the plan has no history: once any event is applied, applied at another clinic or marked not applicable, the plan is kept so that clinical record is not lost.
